The Challenge: Fragmented Systems and Inefficient Processes

A decade ago, the higher education system in Georgia faced a significant challenge: most universities were using fragmented, often outdated, or locally developed software solutions. Many processes, such as student registration, timetable creation, and financial accounting, were still conducted manually or in a semi-automated fashion. This resulted in:

  • Data Accuracy Issues: Data in different departments often did not match, complicating reporting and decision-making.
  • Low Operational Efficiency: Administrative staff spent a great deal of time on routine, manual tasks.
  • Poor Student Experience: Students had to physically visit various departments to complete simple procedures.
  • Accreditation Difficulties: Without unified, reliable data, preparing the necessary reports for regulatory bodies was complex and time-consuming.

There was a clear need for a unified, centralized, and modern platform that could fully automate and standardize academic and administrative processes.

The Solution: INI.GE's Unified ERP-LMS Platform

In response to this challenge, INI.GE developed and implemented a unified education management system that combines ERP (Enterprise Resource Planning) and LMS (Learning Management System) functionality. The platform was designed with full consideration of the specifics and legislation of the Georgian education system. The core modules included:

  • Student Lifecycle Management: From applicant registration to student status management, mobility, and diploma issuance.
  • Academic Process Management: Management of curricula, syllabi, timetables, and classrooms.
  • Academic Assessment: Electronic grade books, exam management, and GPA calculation.
  • Financial Module: Student tuition fee management, payment control, and integration with banking systems.
  • Reporting and Analytics: Powerful reporting tools for administration and accreditation purposes.
  • LMS Component: Uploading learning materials, online assignments, and communication between lecturers and students.

Implementation and Scaling

The project began in collaboration with a few pioneer universities. The implementation process included data migration from old systems, intensive staff training, and adapting the system to each university's internal procedures. Following a successful initial phase, the system's reputation grew rapidly, and in the following years, more than 30 higher education institutions joined the platform, including both state and private universities.

The Results: A Measurable Impact

The implementation of the unified platform brought significant and measurable results:

  • Reduced Administrative Overhead: The automation of routine processes freed up an average of 25-30% of administrative staff's working time.
  • 100% Data Consolidation: All academic and financial data was consolidated into a single, reliable source, eliminating errors and simplifying reporting.
  • Improved Student Services: Students received a single portal from which they can manage their academic and financial processes online, 24/7.
  • Simplified Accreditation Process: Generating standardized reports from the system significantly reduced the time and complexity of preparing documentation for accreditation.
  • Proven Scalability: The system proved its ability to seamlessly serve dozens of universities of different sizes and profiles simultaneously.

Conclusion

This case study clearly demonstrates how a well-designed and implemented centralized ERP-LMS system can drive the digital transformation of an entire sector. The INI.GE platform not only solved the problems of individual universities but also created a unified, standardized, and efficient digital ecosystem for higher education in Georgia.
